About the Federation

The Mission of the Greater Miami Jewish Federation is to mobilize human and financial resources to care for those in need, strengthen Jewish life and advance the unity, values and shared purpose of the Jewish people in Miami, in Israel and around the world. The Greater Miami Jewish Federation was founded in 1938 in response to Kristallnacht (considered by many to be the harbinger of the Holocaust). Since then, Miami has grown from just a resort destination into a unique, culturally diverse community. As the Jewish population has grown, Federation has evolved right along with it. We’ve helped plan schools, Jewish community, agencies and synagogues. We’ve welcomed Jews from Cuba, Latin America, France, the former Soviet Union and other places. We’ve stood alongside Israel in ordinary and extraordinary times. And we’ve raised our voices on behalf of the voiceless – from refusenik Jews to frail aging Holocaust survivors right here at home.

About the Holocaust Memorial Miami Beach

The Holocaust Memorial Miami Beach is a well-known, cherished South Florida landmark, the premier Holocaust Museum in Miami-Dade County and a leader in Holocaust education throughout the state. We serve a broad constituency locally, nationally and internationally, offering a robust schedule of virtual and on-site lectures, films and dialogue. Our curricula are featured prominently in Miami-Dade-area public and private schools, and the resources we offer teachers provide important guidance not only in teaching about the Holocaust, but also in incorporating lessons from the Holocaust into greater understanding in the classroom about hate, racism and antisemitism. We are currently building a new 7,000 square foot Education Center and look forward to expanding all of our initiatives with this exciting future.

Position

The Holocaust Memorial seeks an administrative coordinator who will provide a broad range of administrative support to advance the mission of the organization. The Memorial welcomes approximately 100,000 visitors each year and convenes several large community programs including Kristallnacht, Yom HaShoah and Holocaust Education Week. The position supports the Holocaust Memorial team and reports to the Executive Director

The administrative coordinator will be responsible for supporting the small and efficient Holocaust Memorial Miami Beach team. This includes but is not limited to helping implement events and programs throughout the year, assisting in managing grants, processing donations and work orders, social media, marketing, maintenance of the website, and communication with stakeholders, community members, schools, teachers and constituents requiring information about the Memorial.

Specific areas of responsibility

  • Committee meetings – assist in planning and executing committee meetings including sending meeting notices, agendas and materials; managing room reservations and/or virtual platforms; tracking attendance and recording of minutes.
  • Event Management – manage multiple logistics for in person and virtual events including room reservation, calendar placement, RSVP lists and reports from Memorial database.
  • Grant Support – work in concert with the Memorial team to track and report on private and public grants as well as maintain detailed records of funds expended. With specific requirements for each grant, reports to funders must include document production in conjunction with bookkeeping and accurate narrative reporting to each funder. Coding for each grant is expected.
  • Program Support –support the creation and implementation of our excellence in programs for constituents of all ages. This includes but is not limited to public programs, school programs, teacher enhancement initiatives and adult education. Participant surveys are conducted after many of our programs.
  • Regular responsibilities: Helping to maintain calendars, scheduling meetings and events, data input, document organization, tracking of programs, maintaining detailed administrative and grant financial records, communication with vendors regarding facilities repairs, telephone duties and other administrative functions.

Qualifications and Competencies:

Excellent computer skills: Fluency in Microsoft Word, Excel and PowerPoint, and an ability to learn new technologies.

Planning/Organizing: Strong organization skills and attention to detail. Highly efficient with good time management. Able to meet deadlines.

Communications: Strong written and oral communications skills. Proficient in English grammar. Ability to communicate effectively and provide excellent service to the museum’s diverse constituency.

Fast paced: Able to work in a dynamic, fast-paced environment.

Adaptable/team player: Able to shift gears as priorities change. Maintains a positive outlook.

Integrity: Able to deal with sensitive material discreetly and confidentially.

Knowledge and understanding of Jewish culture and the Holocaust are desired. Spanish-language skills are a plus.

Education/Training Experience

Bachelor’s degree preferred; four or more years of experience or training; or equivalent combination of education and experience.
