Job Description Summary

The purpose of the Young Leadership Division (YLD) is to create meaningful programs, experiences, and opportunities for individuals approximately ages 22–40 to connect with the Greater Miami Jewish Federation and the broader Jewish community.

Working in a collaborative and fast-paced team environment, the YLD Coordinator provides programmatic, creative, and administrative support to the YLD team, including the YLD Director, Campaign Associate, and Senior Director of Philanthropic Engagement.

This position is ideal for someone who is highly organized, proactive, and creative, with a passion for contributing ideas and bringing YLD programs and initiatives to life. The ideal candidate enjoys working both behind the scenes and in the middle of the action, helping ensure programs and events are thoughtfully planned, engaging, and successful. They are organized enough to make sure every detail of an event is handled, creative enough to contribute ideas and content, and personable enough to build relationships with YLD participants and volunteer leaders. They are eager to learn, take initiative, and grow within a dynamic Jewish communal organization.

Essential Functions and Responsibilities

  • Coordinate logistics and ensure readiness for YLD meetings, programs, and events, including securing rooms, ordering food, preparing materials, coordinating name tags and registration, arranging AV needs, and managing Zoom/Teams meetings.
  • Support the planning and execution of YLD programs and special events, including recruitment, registration, event setup, guest experience, and follow-up. Some evening events are required.
  • Bring creativity and a strong visual eye to YLD communications by creating engaging Instagram content, event signage, simple graphics, and other promotional materials in collaboration with the Federation’s Communications team.
  • Assist with capturing and identifying content and photos at YLD programs and events for use on social media.
  • Support participant and donor recruitment by maintaining lists, tracking registrations, conducting outreach, and following up with attendees and prospects.
  • Develop proficiency in Federation’s donor database to maintain accurate information, pull event and prospect lists, enter pledges, generate reports, and support campaign activities.
  • Maintain board and committee lists and assist with communications, meeting preparation, and follow-up for YLD leadership.
  • Assist with donor stewardship, including thank-you letters, acknowledgments, birthday and anniversary outreach, and other relationship-building touchpoints.
  • Research current and prospective donors and participants as requested.
  • Process pledges, checks, credit card payments, ACH and wire transfers and submit invoices and expense reports as needed.
  • Prepare reports, mailings, event materials, pledge cards, and other documents as needed.
  • Communicate professionally with donors, volunteers, community members, vendors, and Federation staff via phone, email, and in person.
  • Provide additional programmatic and administrative support to the YLD and Philanthropic Engagement teams as needed.

Qualification & Skills

  • High school diploma or GED, bachelor’s degree preferred; two or more years of experience, training or equivalent combination of education and experience.
  • A creative thinker with an eye for design, branding, and engaging content. Comfortable creating social media posts, event signage, and simple graphics. Experience with Canva and social media platforms, particularly Instagram, is strongly preferred.
  • Proactive and self-starter, with the ability to anticipate needs, identify solutions, and move projects forward without constant supervision.
  • Strong ability to manage multiple projects, deadlines, events, and priorities simultaneously while maintaining excellent attention to detail.
  • Excellent written and verbal communication skills with a professional, warm, and service-oriented approach when interacting with donors, volunteers, colleagues, and vendors.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and other standard office technology. Ability to quickly learn and effectively utilize Federation’s donor database and other digital platforms. Experience with database systems and mail merges is a plus.
  • Comfortable working in a fast-paced environment, managing competing priorities, and adjusting to changing needs, timelines, and circumstances.
  • Consistently reliable, responsive, prepared, and able to follow through on responsibilities and deadlines while maintaining appropriate professional standards.
  • Ability to handle donor, financial, and organizational information with discretion and confidentiality.
  • Knowledge and understanding of Jewish culture and the Miami Jewish community is a plus.

Compensation & Benefits

The Salary range: $50,000 - $60,000, commensurate with experience and qualifications.

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job with or without reasonable accommodation.

This is a sedentary role; Physical requirement of being able to lift 15 pounds at times. The position primarily involves working at a desk, sitting for extended periods while using a computer, phone, or other digital devices.
