Account Manager | (Hybrid)

The Account Manager is responsible for overseeing accounting, financial reporting, payroll, and compliance functions for CAJE in coordination with the Greater Miami Jewish Federation (GMJF) accounting team. This role ensures accuracy, compliance, and timely processing of financial and human resource-related activities while maintaining strong internal controls and confidentiality.

Essential Functions and Responsibilities

  • Ensure compliance with GMJF internal controls and apply them consistently at CAJE.
  • Prepare and maintain general ledger accounts and financial reports.
  • Prepare monthly and annual financial statements and reports.
  • Develop annual budgets for ten departments and a consolidated budget in collaboration with department directors and the Executive Director.
  • Perform bank reconciliations for six accounts.
  • Review invoices and expense coding for accuracy prior to submission for final approval to the CAJE Executive Director.
  • Process and submit daily accounts payable invoices to GMJF.
  • Support GMJF with annual audits, 401(a), 403(b) TDA reporting, 990 schedules, and year-end coordination with retirement plan providers for audit and Form 5500 filings.
  • Complete annual organizational renewals including SunBiz, Florida Department of Agriculture, IRS Determination Letter, and Consumer Certificate of Exemption.
  • Record GMJF Foundation Fund balances for eight CAJE accounts and process monthly journal entries.
  • Ensure daily cash receipts are accurately processed and recorded on time.
  • Reconcile cash receipts to bank statements.
  • Review monthly expense reports for accuracy, including project IDs and general ledger coding.
  • Follow up on missing receipts and documentation.
  • Review transactions for accuracy and dispute unauthorized or unrecognized charges.
  • Forward completed reports to the CAJE Executive Director for final approval.
  • Upload approved reports into the financial system.
  • Oversee or perform the following duties related to the Teacher’s Fringe Benefit 403(b) plan:
    • Process records for approximately 370 participants across 7 Day Schools.
    • Lead an annual audit.
    • Maintain daily logs of contribution payments, spreadsheets, transmittals, and processing dates to ensure IRS compliance.
    • Follow up with schools regarding late remittances to prevent delinquencies.
    • Review and verify participant enrollment spreadsheets and ensure accuracy against EFT bank transfers each payroll period.
    • Transmit contribution files to retirement plan providers.
    • Process annual teacher retirement plan payments based on eligibility guidelines.
    • Coordinate annual consolidation of school census reports.
    • Administer the plan, including approval of participant distributions and rollover requests in accordance with plan guidelines.

Human Resources & Payroll

  • Process payroll for approximately 20 employees using ADP.
  • Coordinate with GMJF CFO on background checks for new hires.
  • Allocate semi-monthly payroll expenses by department.
  • Maintain 401(a) retirement plan processing and records.
  • Maintain 403(b) TDA processing and records.
  • Track employee vacation and sick leave balances.
  • Process and allocate employee benefits payments by department.

Qualification & Skills

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • 4-10 years of accounting experience or experience in a similar role; nonprofit organization experience is a plus.
  • Ability to learn HR responsibilities; experience in human resources or employee benefits administration is a plus.
  • Strong knowledge of accounting principles.
  • Experience with accounting software; Financial Edge is a plus.
  • Ability to work collaboratively under the supervision and in coordination with the GMJF accounting team.
  • Excellent analytical skills with strong attention to detail.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong organizational skills with the ability to prioritize workload, meet deadlines, and respond to daily requests from GMJF and CAJE staff.

Compensation & Benefits

The Salary range: $105,000–$110,000, commensurate with experience and qualifications.

This is a sedentary role; Physical requirement of being able to lift 15 pounds at times. The position primarily involves working at a desk, sitting for extended periods while using a computer, phone, or other digital devices.
