Employment Status: Full-time / Non-Exempt / Hybrid

The Administrative Assistant provides critical support to the Campaign Divisions, part of the Greater Miami Jewish Federation. The Greater Miami Jewish Federation is the heart of the Miami Jewish community, convening community members who envision, plan, and raise funds for a strong and vibrant Jewish future. Federation mobilizes human and financial resources to care for those in need, strengthen Jewish life, and advance the unity, values and shared purpose of the Jewish people. 
 
This position requires professionalism, discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced nonprofit environment. The Administrative Assistant also serves as a welcoming presence for volunteers, donors, and community members.

Essential Functions and Responsibilities

• Manage calendars, schedule meetings, and coordinate logistics for staff and lay leaders
• Become a proficient user of the Federation’s donor database program
• Run weekly thank-you letter mailings through the donor database
• Generate and organize reports from the donor database 
• Coordinate personalized donor and volunteer communications, including milestone acknowledgments and condolence messages
• Maintain contact lists and board/committee lists
• Research information on contributors and non-contributors when requested
• Ensure readiness for meetings/events – order food, book rooms, prepare materials, send electronic communications, etc.
• Assist with events including recruitment, couvert collection, registration, and on-site support
• Process invoices, expense reports, petty cash, and maintain accurate records

Qualifications & Skills

• Proficiency in Microsoft Word, Excel, and PowerPoint; experience with donor databases preferred
• Strong organizational and time management skills with ability to prioritize and meet deadlines
• Excellent written and verbal communication skills in English, with a professional telephone demeanor; knowledge of Hebrew and/or Spanish is a plus
• Outstanding interpersonal skills including patience, courtesy, and cultural sensitivity in working with volunteers, staff, and vendors
• Ability to adapt to changes, manage competing demands, and work independently
• Strong attention to detail and ability to maintain confidentiality with sensitive information
• Dependability, punctuality, and willingness to take initiative and seek feedback
• Familiarity with Jewish culture and communal life is a plus 
• Ability to work evenings and weekends for event support, as needed
• Performs additional duties as required to support departmental goals and organizational objectives

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job with or without reasonable accommodations.

This is a sedentary role; Physical requirement of being able to lift 15 pounds at times. The position primarily involves working at a desk, sitting for extended periods while using a computer, phone, or other digital devices.
